Education Abroad at UK Glossary

EA Website - The Education Abroad at UK main website, located at www.uky.edu/IntlAffairs/EA.

Program Provider Application Process - Most students must complete an application process directly with the program provider, in addition to the EA at UK application process.  The most up-to-date information on the program provider application is usually found on the program provider website.


EA at UK Application Process - The application process used when a student applies to the Education Abroad at UK Office in order to study abroad. This process contains six phases:


1.    Pre-Application Phase - The first phase of the process when a student submits the Pre-Application questionnaire, which creates an EA homepage for the student.  This is usually the time period when the student attends an IDEA session, if they have not attended already, researches programs, and meets with his or her EA Advisor.


2.    Application Phase - The second phase of the process when a student has chosen a program and that program is added to his or her Education Abroad at UK application (homepage).  The required application materials will appear on the student's homepage as not yet completed.  The student begins completing the EA at UK application requirements.


3.    Pre-Departure Phase - The third phase of the process when a student has been accepted by Education Abroad at UK and their program provider. Students must attend a Pre-Departure Orientation. Students also complete any remaining requirements from the application process and make final arrangements (flight itinerary, etc) for going abroad.


4.    Abroad Phase - The fourth phase of the process when a student is abroad. Students must remember to register for the following semester classes while they are abroad.  Transcript instruction reminders are sent. Students can keep an online journal during their time abroad and use it to communicate easily with their EA Advisor or other EA staff.


5.    Returnee Phase - The fifth phase of the process when a student returns from going abroad. Students enrolled in ISP 599 must complete a Program Evaluation and attend a Re-Entry Session to receive a passing grade in ISP 599.


6.    Alumni Phase - The final phase of the process when a student has completed all requirements in the Education Abroad process. Students may choose to make their comments and/or contact information available through the EA website for other UK students.


 

Pre-Application Questionnaire - The questionnaire that students submit to begin the Education Abroad at UK application process. Students are only required to submit ONE of the two available questionnaires depending on their current student status (i.e., undergraduate or graduate/professional). The answers on the questionnaire will be used to determine the next step in the process for this student and to assign the student to the appropriate Education Abroad Advisor.

Student EA Homepage - This page contains basic student information retrieved automatically from the UK system and/or entered by the student. This page is created automatically when the student logs in or submits the Pre-Application Questionnaire.

Add a Program - After deciding on a specific program a student can begin the Application Phase by having an EA staff "add a program" to his or her homepage. Programs can only be added by an EA Staff Member.  The student must notify EA at UK and request that the program be added.

Material Submissions - These paper documents must be physically turned in to the Education Abroad at UK Office located in 112 Bradley Hall.  The staff will note on the student's application that the material was submitted.

Signature Documents - These documents must be read by the student and signed digitally.

Questionnaires - These are completed online by the student as part of the application process.

Post-Deadline Application - Students wishing to apply for programs after the stated deadline must contact the Education Abroad at UK Office before being able to do so. Applicants may apply for programs past the stated deadline only with approval from Education Abroad.  An EA staff must add the program to the student's homepage and change the deadline for that specific student/program.

Acceptance Letter - Students will receive an acceptance letter from Education Abroad at UK once they have submitted the necessary forms for their application and these forms have been reviewed and approved. Students must then "Commit" to their selected program to continue onto the Pre-Departure phase of the application process. Note: An acceptance letter to Education Abroad at UK does not guarantee acceptance into their chosen program. Therefore, students should not book flights, etc, until they have been accepted by both Education Abroad at UK and their chosen program provider.

Program Acceptance Document - The document sent by the program provider to the student informing him or her of acceptance into the chosen program. This could be in the form of a letter, email, etc. This acceptance document is separate from the acceptance letter received from Education Abroad at UK. Students must provide a copy of the Program Acceptance document to the EA Office as a material submission.

Status Change - A status change indicates that a student has been moved by Education Abroad at UK into a new phase of the application process.
